Biometric Data Information Retention and Destruction Policy
Introduction
Accu-Time Systems, Inc. (“Accu-Time”) provides time management solutions and services to customers through the TimeCom and Accu-Cloud installations. In providing these services, time clock terminals transmit biometric template data (“Biometric Data”) of our customers’ employees to Accu-Time for purposes of system maintenance and data storage.
Scope
This policy applies to the Biometric Data of the employees of Accu-Time’s customers who utilize the TimeCom or AccuCloud installations.
Purpose
In accordance with the Illinois Biometric Information Privacy Act (740 Ill. Comp. Stat. Ann. 14/1 et seq.) and other laws applicable to Biometric Data, Accu-Time maintains comprehensive policies and procedures to ensure the proper collection, use, safeguarding, storage, retention, and destruction of Biometric Data by Accu-Time. Accu-Time further makes available to the public this Biometric Data Information Retention and Destruction Policy.
Retention Schedule and Destruction Guidelines
Accu-Time shall retain Biometric Data for up to eighty (80) days following receipt of a customer’s or employee’s notice that the employee’s employment with the customer has ended, or upon withholding consent to use biometrics (for customers with the consent workflow enabled). Once this time period has elapsed, or once the withholding of consent can be processed, Accu-Time shall permanently destroy all copies of the employee’s Biometric Data in its possession and shall demand that its vendors do the same. . Absent a valid warrant or subpoena issued by a court of competent jurisdiction or other legal requirement, Accu-Time shall comply with the aforementioned retention schedule and destruction guidelines.
